Instead, they order what they need directly from their smartphones and expect it to be delivered straight to their doorstep. As customers change their shopping habits, retailers must adapt to meet these evolving expectations. To help retailers bridge the gap between traditional operations and modern delivery demands, NaviPartner has developed an integration between Microsoft Dynamics 365 Business Central and Wolt.

Integration between Microsoft Dynamics 365 Business Central and Wolt

This integration allows retail businesses to open new sales channels while maintaining a “single source of truth” for all their data. By synchronizing their ERP directly with Wolt, they can offer customers the convenience of home delivery without the headache of manual data entry or fragmented inventory. To illustrate how this integration works in practice, let’s look at an example of a retail chain which we will refer to as “XY”.

The retail scenario: Why integration matters

The “XY” retail chain operates multiple stores across several cities, including numerous locations within the same city. To offer customers an additional sales channel and respond to the growing demand for home delivery, “XY” decided to offer its products through the Wolt platform.

Along with customer convenience, this decision also had a strong operational benefit. By listing selected products on Wolt, “XY” gained an additional channel to sell items with higher stock levels, helping reduce warehouse inventory and optimize stock turnover. To achieve this, it was necessary to integrate Microsoft Dynamics 365 Business Central with the Wolt platform. The integration consists of two key components:

  • Item Data Sync (Product Data and Assortment List) &
  • Order Sync.

Item Data Sync: Product visibility with full control

Within Microsoft Dynamics 365 Business Central, a dedicated list is created containing all products that “XY” wants to offer through Wolt. Each product entry includes the following:

  • Product name
  • Detailed product description
  • Product ingredients
  • Product image

These data entries are manually created and maintained in Business Central when a product from the existing assortment is selected for sale via Wolt. This product data table is fully integrated with the Wolt platform, meaning that all descriptions and images visible to customers on Wolt are pulled directly from Business Central. This approach ensures consistency, accuracy, and full control over product presentation.

Item Data Sync: Store-specific availability and pricing

In addition to product data, an “Assortment List” table is created in Microsoft Dynamics 365 Business Central. This table defines store-specific commercial information, including the following:

  • Prices
  • Discounts
  • Price per unit or per kilogram
  • Product availability per store and location

Each physical store within the “XY” retail chain has its own “Wolt Store Code,” allowing precise mapping between ERP data and Wolt store listings.

To ensure that pricing and availability are always up to date, Business Central is configured with automated background processes that execute scheduled tasks without manual intervention (Job Queue Entries). In this way, all price changes and discounts are automatically synchronized with the Wolt platform. Since “XY” updates prices on predefined days, the system is set up to match this schedule. For example, if price changes occur every Tuesday and Thursday, the scheduled jobs run every Wednesday and Friday at 9 a.m. to refresh pricing and discount data between Business Central and Wolt. This automated approach eliminates manual updates and reduces errors, as well as ensuring consistent pricing accuracy across all sales channels.

Order Sync: Automated sales processing

When it comes to sales, Wolt manages the entire purchasing process with the end customer. From the perspective of retail chain “XY”, Wolt is the customer. To support this process, order synchronization is set up so that:

  • Orders from Wolt are automatically imported into Business Central every hour,
  • Each incoming Wolt order (Order ID) automatically creates a sales order in Microsoft Dynamics 365 Business Central,
  • Based on the sales order, an invoice is automatically generated and sent to Wolt.

Each imported order is tracked by a unique “Order ID” and includes clearly defined statuses:

  • Delivered: products have been delivered to the end customer and the order has been received from Wolt.
  • Invoiced: an invoice has been successfully created and issued from “XY” to Wolt.

This process ensures accurate financial tracking, simplified reconciliation, and a fully automated sales workflow.

How the process looks from the customer’s perspective

From the customer’s point of view, the experience is simple and intuitive:

  1. The customer opens the Wolt app,
  2. They select the nearest “XY” store based on location,
  3. They browse available products, view prices, discounts, detailed descriptions, and images,
  4. They place an order directly through Wolt.

Wolt manages the entire customer-facing sales process, including payment and issuing the invoice to the end customer. Once the delivery is completed, Wolt sends the order information to “XY”, triggering the automated invoicing process within Microsoft Dynamics 365 Business Central.
